Information We Collect

Personal Information

When you interact with EdVanta Academy — whether through the admissions process, enrolment, or general enquiries — we may collect personal information including full names, dates of birth, contact details (email, phone number, physical address), identification documents, and emergency contact information for students, parents, and guardians.

Academic Records

We collect and maintain academic records including enrolment history, grades, attendance records, assessment results, disciplinary records, and extracurricular participation details necessary for the educational services we provide.

Financial Information

To process fee payments and manage accounts, we collect billing information such as payment details, transaction records, fee structure allocations, and receipt histories. Payment card details are processed by third-party payment providers and are never stored on our servers.

Technical Information

When you visit our website, we automatically collect certain technical data including your IP address, browser type, device information, pages visited, and referring URLs. This data is collected through standard web server logs and is used to improve our digital services.

How We Use Your Information

Educational Services

Your information is primarily used to deliver quality education and manage the student lifecycle — from admissions and class placement through to academic reporting, parent communications, and graduation.

Communication

We use contact details to send important school communications including academic reports, fee statements, event notifications, emergency alerts, and administrative notices via email, SMS, and WhatsApp where consent has been provided.

School Administration

Personal and academic data supports internal operations such as timetable planning, staffing, resource allocation, campus management, and regulatory compliance with the Ministry of Primary and Secondary Education.

Service Improvement

Aggregated, anonymised data may be used to analyse trends, improve educational outcomes, enhance our digital platforms, and develop better services for our school community.

Data Sharing & Disclosure

Authorised Third Parties

We may share information with authorised third parties who assist in delivering our services, including payment processors, communication platforms (SMS and WhatsApp providers), cloud hosting providers, and examination bodies such as ZIMSEC and Cambridge International. All third-party providers are bound by data protection agreements.

Legal Requirements

We may disclose personal information when required by law, regulation, or legal process — such as compliance with the Zimbabwe Data Protection Act, court orders, or requests from regulatory authorities including the Ministry of Education.

Consent-Based Sharing

We will not sell, rent, or trade personal information to third parties for marketing purposes. Any sharing beyond what is described in this policy will only occur with your explicit consent.

Data Security

Technical Safeguards

We implement industry-standard security measures to protect your data, including encrypted data transmission (TLS/SSL), secure server infrastructure, access controls, regular security audits, and automated backup procedures.

Access Controls

Access to personal data is restricted to authorised school personnel on a need-to-know basis. Staff members receive data protection training and are bound by confidentiality obligations. Our systems enforce role-based access controls to prevent unauthorised data access.

Incident Response

In the event of a data breach that poses a risk to your rights and freedoms, we will notify affected individuals and relevant authorities promptly in accordance with applicable data protection legislation.

Data Retention

Retention Periods

Student academic records are retained for the duration of enrolment and for a minimum of seven years following the student's departure from the school, in line with educational record-keeping requirements. Financial records are retained for the period required by Zimbabwe Revenue Authority regulations.

Deletion Requests

Upon request and where legally permissible, we will delete or anonymise personal data that is no longer required for the purposes for which it was collected. Certain records may need to be retained for legal or regulatory compliance.

Your Rights

Access & Correction

You have the right to request access to the personal data we hold about you or your child, and to request corrections to any inaccurate or incomplete information. Requests can be submitted to the school administration office.

Withdrawal of Consent

Where processing is based on consent (such as marketing communications or WhatsApp notifications), you may withdraw your consent at any time. This will not affect the lawfulness of processing carried out before the withdrawal.

Data Portability

You may request a copy of your personal data in a structured, commonly used format. We will provide this within a reasonable timeframe, subject to verification of your identity.

Complaints

If you believe your data protection rights have been infringed, you have the right to lodge a complaint with the Postal and Telecommunications Regulatory Authority of Zimbabwe (POTRAZ) or any other relevant supervisory authority.
